The Executive Assistant provides essential administrative support to the President and the leadership team. This role touches several aspects of business operations (administration, human resources, marketing, projects and internal coordination) and offers a comprehensive overview of the company’s activities.

Key responsibilities

  • Provide administrative support to the President and the leadership team
  • Contribute to improving administrative processes
  • Handle HR administrative activities: job postings, candidate communications, interview coordination, background checks, management of health and safety files, preparation of vacation forms, etc.
  • Lead and participate in the Health and Safety Committee and maintain health and safety documentation
  • Organize social activities and the annual staff party
  • Support the organization of participation in trade shows
  • Participate in the coordination of strategic projects
  • Prepare management and/or shareholder meetings (agenda, documentation, logistics)
  • Review legal contracts
  • Prepare administrative documentation for municipal tender submissions
  • Register vehicles with the SAAQ and prepare Attestation of
  • Transaction with a Merchant (ATAC) documents
  • Coordinate with IT support regarding access management and equipment
  • Coordinate advertising initiatives and marketing tools (Facebook, LinkedIn, website, promotional materials, etc.)

Education and experience required

  • DEC in Administration or Secretarial Studies
  • Minimum of 4 years of experience in a similar role
